Job Description

The Administrative Assistant is responsible for providing senior-level administrative and organizational support to the Program Director for the Continuing Care Program & Stroke, the Program Director for Community Integration the Program Director for the Medicine Program. The Administrative Assistant will provide complex and confidential administrative support in a dynamic environment and will function with a high degree of attention to detail, quality, accuracy, and prioritization of work in a team setting. Administrative Assistant will also coordinate and prepare agendas with supporting documents, records while transcribing minutes for a variety of meetings, draft documents and correspondence including contracts, letters, responses, memorandums, announcements, and presentations, manage calendars, organize travel and conference arrangements, and co-ordinates a variety of engagements with both external and internal clients, and provides administrative support to the Program Director and team for projects and initiatives as required.

 

 

What must you have?

  • Successful completion of a Diploma or Degree in Office Administration or related field or equivalent combination of education and experience

 

What else do you bring?

  • Superior Microsoft Office and Office 365 skills including Microsoft SharePoint, PowerPoint, Word, Access, Excel, OneNote, and M/S Project.
  • Ability to multi-task, prioritize and manage own workflow to ensure quality and efficiency.
  • Proficient minute-taker with an ability to prepare high quality concise meeting minutes
  • Excellent organization, accuracy, and time management skills with an ability to effectively manage a complexity of tasks simultaneously
  • Strong problem-solving skills and sound judgment.
  • Polished, professional interpersonal skills with an ability to work effectively in a team environment and with a variety of internal and external stakeholders.
  • Proven attendance record
  • Demonstrates understanding and complies with patient and staff safety policies and procedures that foster a safe and inclusive environment for all
  • Ability to perform the essential duties of the job
  • Effectively uses empathy in interactions with others and demonstrates behaviours consistent with Mackenzie Health’s commitment to caring

Preferably, your profile also includes:

  • Demonstrated office administration experience in an Administrative Assistant or equivalent role, minimum of one year experience
  • Experience in a health care environment
