Mackenzie Health is embarking on a multi-year modernization of its human resources, finance, and supply chain services to implement a new Enterprise Resource Planning system (ERP). The ERP program is a pillar of enabling exemplary corporate services functions which will provide a backbone of support for the entire Hospital. These services play a critical role in ensuring the efficient and effective use of resources, to enable high quality care, and ensuring Mackenzie Health complies with ever-changing regulations. Corporate services transformation is at the forefront of the organization’s priorities to create a more agile, responsive, and efficient system.
Mackenzie Health is seeking an experienced individual to be of this ERP program, focusing on providing project management coordination and administrative assistance for the team. The successful candidate will effectively coordinate assigned program activities. They work with internal and external stakeholders, and vendors. They assist to monitor program tasks, issues, risks, schedules, constraints, actions, KPIs and assumptions. They provide support for the ERP Transformation & Implementation team including human resources, time management, purchasing, and payroll activities. They provide confidential administrative services for the ERP Implementation & Transformation Program including such items as minutes, report creation, correspondence, presentations, scheduling meetings, and appointments, booking meeting rooms and arranging amenities required.
Contributes to safe, quality care by:
- Providing confidential administrative support to the ERP Implementation and Transformation department: including minutes, reports, program schedules, correspondence, presentations etc.
- Coordinating meetings including large group coordination that is required for things such as training sessions, demonstrations, etc.
- Coordinating the preparation, maintenance of records and processing of payroll and attendance for the ERP Implementation and Transformation team.
- Ensuring all deliverables and/or project artifacts are stored in the correct places.
- Acting as a department contact for all departmental IT requests, accesses/setups, terminations, maintenance requirements, etc.
- Coordinating/administering purchasing functions following the procedures outlined for Mackenzie Health.
- Acting as a website content administrator for the Program. Ensures the team website is kept up to date.
- Acting as a content administrator for the Stakeholder Registry. Ensures that it is kept up to date.
- Working with the ERP leads and the vendor to accurately track program KPIs (and for agile, sprint velocity) and to track and prioritization of user stories/requirements. Participates/leads with sprint/timeline adjustments.
- Collaborating with other staff members and leverages cross-functional teams to ensure task completion and project success.
- Assisting the Director ERP Implementation & Transformation, and the Leads on the team with phase/scrum planning.
- As assigned, assists in the creation, coordination, and execution of plans, deliverables, and work products Revises as appropriate to meet the changing needs/requirements of the program.
- Providing updates to the Director ERP Implementation & Transformation and community infrastructure regarding deliverable / task / sprint completion levels.
- Ensuring backlog/requirements traceability matrix is updated. Follows up on issues and status with cross-functional team members. Ensuring all RAAID-CC (risks, actions, assumptions, issues, decisions, changes, constraints) items are documented and updated.
- Performing other duties as assigned.
What must you have:
- University undergraduate degree in business, computer sciences, computer engineering, or relevant degree or equivalent combination of education and experience.
- Minimum of three (3) years related experience
- Computer skills in the Microsoft Office Suite – Outlook, Word, Excel, PowerPoint, Visio, MS Project, JIRA.

Preferably your profile includes:
- PMP (Project Management Professional) and/or LEAN/Six Sigma certification and/or Scrum Master and/or SAFe certification preferred.
