The Program Specialist, Logistics Services plays a key role in supporting the efficient operation of the organization’s logistics services, including the Just-In-Time (JIT) program, central stores, and shipping & receiving. Reporting to the Manager, Logistics Services, this role ensures optimal product availability, inventory accuracy, and supply continuity to meet clinical and operational needs across the organization.
The Program Specialist, Logistics Services is responsible for managing critical product backorders and substitutions, coordinating product conversions, supporting inventory control processes, and liaising with vendors and clinical stakeholders to maintain the flow of materials. The role involves both strategic coordination and hands-on operational support, with a strong focus on process improvement, data tracking, and compliance. Additionally, the incumbent supports pandemic preparedness planning and contributes to performance reporting to strengthen overall supply chain resilience.
Working closely with internal departments and external partners, the Program Specialist, Logistics Services ensures logistics operations are responsive, collaborative, and aligned with organizational priorities.
Primary Responsibilities:
- Monitor backorder reports and identify potential supply disruptions.
- Collaborate with clinical stakeholders, vendors, and MMC repositories to determine and implement appropriate product substitutions.
- Coordinate product substitutions and changes with external partners and peer hospitals to ensure consistency and clinical safety.
- Communicate updates related to product availability, substitutions, and resolutions to internal stakeholders.
- Support product conversions stemming from procurement activities or new contracts; coordinate stocking, labeling, and bin creation for new or updated items.
- Manage daily Just-In-Time (JIT) program activities, including returns, substitutions, and inventory accuracy.
- Perform daily “kill partials” and support ongoing cycle counts to ensure inventory reliability and usability.
- Monitor product recalls and coordinate with impacted departments for appropriate follow-up and resolution.
- Run and review Purchase Order (PO) Summary reports daily; address outstanding or delayed items in collaboration with Procurement and Receiving.
- Coordinate with the Shipping & Receiving team to ensure accurate intake and delivery of supplies across the organization.
- Assist in tracking inbound and outbound shipments, escalating delays or discrepancies when needed.
- Collect and analyze logistics key performance indicators (KPIs) and support continuous improvement initiatives.
- Support the implementation and monitoring of the pandemic supply strategy, including ensuring appropriate rotation and readiness of critical stock.
- Act as a liaison between Logistics, Supply Chain, clinical teams, and vendors to align logistics operations with hospital needs and service standards.
- Participate in cross-functional meetings and special projects as assigned by the Manager, Logistics Services.
- Assist with the documentation, and continuous improvement of ERP workflows related to inventory control, product availability, and supply continuity, ensuring alignment with logistics and clinical needs.
- Maintain accurate ERP data through regular cleansing and validation activities; support inventory tracking, backorder management, and reporting by leveraging ERP tools to inform decision-making and ensure compliance.
What must you have?
- College diploma or university degree in business or supply chain related field, or equivalent experience required.

- Minimum of 2 years of supply chain/logistics management experience in a healthcare or equivalent environment.
- Demonstrated ability to lead cross-functional collaboration, influence without authority, and promote a culture of service excellence across clinical, operational, and vendor partners.

- Proficiency with Microsoft Office (Word, Excel, PowerPoint, and Outlook), as well as logistic related software, such as Allscripts, SMS auditing tools, etc.
